The journey to replace our outdated financial systems commenced over two years ago. Since then, UC Riverside has invested significant intellectual capital into redesigning the new UCR Chart of Accounts (COA), business processes and configuring our new integrated systems which include: Oracle Financials; our new procurement and financial system; Concur, our new travel and expense system; and Kuali, the new proposals, awards, and subawards system. Additionally, we have integrated numerous other supporting systems, such as UCPath, Banner, Looker (reporting tool), and ServiceNow, all of which will utilize the new COA.
We have done this work through the collaboration of dedicated program management, IT professionals, and staff from across the entire institution. As project sponsors, we want to express our deep gratitude to everyone participating in the design, testing, and change management activities moving our campus forward.
Considering these accomplishments, we are pleased to affirm the July 5, 2023, go-live of new systems and reports. This go-live decision fulfills a major milestone for UC Riverside and the Impact23 Program. It represents the culmination of several years of work by hundreds of dedicated members of our community.
The transition itself is complex. Major automated administrative system implementations like this are a real challenge for every campus, as the processing steps for many transactions change, and it takes time for the campus knowledge base to stabilize. However, these implementations are crucial for the efficient functioning of the campus, as older systems have become outdated and difficult to maintain.
We want to help you navigate the changes you will see over the next several months. Please continue reading for key system transition dates, training and support, and access information.
SYSTEM TRANSITION PERIODS
The process to finalize activity in legacy systems and integrate existing or transition to new financial systems is underway. Key cutoff and transition dates can be found here.
TRAINING
We want to thank our community for continuing to learn new systems and processes and supporting one another through the transition. We offer web-based training and instructor-led courses through the UC Learning Center.
If you still need to do so, please complete the relevant faculty or staff courses within the Impact23 training program. These courses enhance your skills and understanding of the new systems.
SUPPORT
We are striving for a smooth experience for our users. SYSTEMS ACCESS
Please collaborate with your Department System Access Administrator (SAA) to ensure that the necessary roles are assigned to you for go-live and as new systems become available. Your Department SAA will assist you in obtaining the appropriate access and permissions required to effectively work in the systems.

In summary, the transition to our new processes and tools will be a significant adjustment. We are not expecting you to be an expert right away. We will continue improving the systems and supporting users beyond July 5.
